Commissioner Guide: How to Manage Keeper Deadlines and Keeper League Administration
Keeper administration is the most common source of pre-season commissioner headaches. Setting clear deadlines, communicating them multiple times, and having a documented process prevents most disputes before they happen.

Keeper Deadlines: Setting and Communicating
When to set the deadline. Keeper submission deadlines should be set at the end of the prior season — ideally right after the championship. Managers know what they kept last year, the current year is fresh in their minds, and they have the most time to plan.
A deadline 2–4 weeks before the draft is standard for most leagues. Early deadlines (6+ weeks before the draft) allow time for disputes to resolve without rush.
Communication cadence. Send at least three deadline reminders:
- When you announce the deadline (post-season)
- Two weeks before the deadline
- 48 hours before the deadline
A manager who missed a deadline after three reminders has less standing to complain than a manager who missed an unannounced deadline.
How to accept submissions. Use one channel for official submissions — the platform’s keeper submission feature, a shared Google Form, or a direct message to the commissioner. Avoid accepting keeper submissions via separate channels (group chat mentions, email threads) that can be lost or disputed.
Keeper Rules to Establish Before the Deadline
Which round picks are burned. Common systems:
- Round-based: Keep a player at the round they were drafted the prior year (or one round higher)
- Fixed cost: All keepers cost the same round (e.g., everyone kept is your 5th-round pick)
- Auction-based: In auction leagues, the keeper cost is their auction price from the prior year
Keeper eligibility rules. Define: maximum times a player can be kept; whether free agent adds can be kept (and at what cost); whether traded players retain their original keeper cost or reset.
Keeper disclosure. Full disclosure before the draft is strongly recommended — it allows all managers to plan their draft accurately.
Processing Keeper Submissions
Confirm receipt for every submission. When a manager submits their keeper, reply to confirm you received it. A manager who submitted keepers but never got confirmation may not realize their submission was lost.
Check for rule violations. Before finalizing keeper designations, verify every submission: does the submitted keeper meet eligibility requirements; is the assigned round correct per the rules; are there multiple managers submitting the same player?
The same player on two rosters (one manager picks him up off waivers after another dropped him) is a frequent keeper dispute. The player legally belongs to one roster — clarify before the draft.
Post the official keeper list. Once the deadline passes, post the complete list of all keeper designations to the league. Every manager should see every keeper before the draft begins.
Handling Keeper Disputes
The late submission. A manager who submits after the deadline generally forfeits keeper rights, unless there was a platform error or genuine emergency. Establish this policy before the season.
The wrong player submitted. If a manager submitted the wrong player by mistake, the standard approach is that submitted keepers are final once the deadline passes. Allowing retroactive changes after others have planned their drafts disadvantages them.
Player with disputed keeper value. If the rules are ambiguous about a specific player’s keeper cost, rule in favor of the interpretation that most closely matches the spirit of the rule — and add a specific clarification to the constitution for next year.
