Commissioner Communication Strategy: Keeping Managers Informed and Engaged

Communication keeps leagues alive.

Silence kills engagement. Over-communication annoys people. Find the middle: regular, valuable updates that keep managers informed without overwhelming them.


The Communication Calendar

Preseason (July–August):

  • Email 1: “Draft is set for [date/time]. Please confirm attendance.”
  • Email 2: “Updated league rules. Here’s what changed from last year.”
  • Email 3: “Draft day approaching! Start thinking about your strategy.”

Regular Season (Weeks 1–12):

  • Weekly power rankings (every Monday morning)
  • Playoff bracket (week 13 update)
  • Emergency only: Trade disputes, scoring issues

Playoffs (Weeks 13–17):

  • Weekly power rankings (for fun/hype)
  • Playoff matchups reminder (each week)
  • Post-championship announcement

Offseason (December–June):

  • Year-end recap and stats
  • Keeper deadline reminder
  • Draft date announcement for next year

The Weekly Power Rankings Email

Subject: “Week [N] Power Rankings”

Format:

WEEK [N] POWER RANKINGS

1. [Team A] (X-Y) — Elite RB having a career year
2. [Team B] (X-Y) — WR depth is finally paying off
3. [Team C] (X-Y) — Slim playoff odds but trending up

Tone: Fun, personality-driven, 5–10 minutes to write.


The Rule Update Email

When to send: Once, preseason, before the draft.

Subject: “Updated League Rules for 2026”

Format:

HEY EVERYONE,

Here's what changed from last year:

CHANGED:
- Trade deadline moved to Week 10 (was Week 8)

ADDED:
- New veto rule: [explanation]

UNCHANGED:
- Entry fee is still $100
- Playoff format is still [format]

The Emergency Communication

Use sparingly. Only for:

  • Trade disputes (needs quick resolution)
  • Scoring errors (needs immediate fix)
  • Manager timeout/non-participation

Keep it brief. “Hey [Manager], we’re reviewing your trade. Expect a decision by [time].”


The Offseason Email

When to send: Right after playoffs end.

Subject: “2026 Season Recap + Next Year Details”

Format:

CONGRATS TO [CHAMPION] 🎉

2026 HIGHLIGHTS:
- Champion: River City Rebuild, 10-4
- Most points: Uptown Flex, 1,684.2 points
- Best trade: [Trade description]

The Tone

  • Professional but fun. Use personality, but stay respectful.
  • Consistent. Same time every week (Monday 9 AM, for example).
  • Brief. Power rankings = 300–500 words max.
  • Action-oriented. Always end with a call to action (“Reply with your keeper selections by X”).

Consistent, clear communication:

  • Keeps managers engaged
  • Prevents misunderstandings
  • Builds trust in your commissioner judgment
  • Makes league feel organized
